More reasons to eliminate data entry now

Data entry is one of the more common tasks seen in the average enterprise, and also among the most arduous, difficult to maintain accuracy around and inefficient. One would be hard-pressed to identify an employee who actually enjoys extensive data entry responsibilities, and studies have indicated that this popular aspect of general operations can significantly decrease staff member engagement and productivity over time.

Although many firms continue to take a manual approach to data entry, this is simply no longer necessary given the immense diversity and high volume of automation software that can help reduce the amount of time it takes to get the job done. Businesses that eliminate data entry stand to gain advantages ranging from more efficient use of resources to the ability to process significantly more transactions without adding resources.

Productivity, accuracy and throughput in reporting and more are generally increased by the use of various automation tools that reduce data entry responsibilities among staff members and work to decrease the amount of arduous and repetitive tasks each employee has to complete on a given day. Several reports have indicated that automated data entry might come with even more benefits to corporate continuity and operational performance, while reducing the risk of significant and complex issues in the same motion.

The mobile catalyst
Automation World recently reported that a major manufacturer, Matrix Technologies, saw significant improvements when switching to digital, automated solutions for a project that involved the documentation of thousands of instruments within its refinery. According to the news provider, the project leader and senior programmer of the firm said that due to the switch, completion time for this project was reduced from about 49 weeks to 27 weeks.

This is a more obvious, yet sometimes overlooked advantage of automation, in that machines can generally complete data entry-related tasks far more quickly and accurately than a staff member could. Additionally, the source pointed out that the explosion of mobile and Internet-connected devices has significantly expanded the breadth of potential advantages that could come along with automation.

Mobile enables the use of automated tools on the ground level of a company, especially in manufacturing, while data volumes will tend to be a bit higher when switching from paper filing to digital technologies. The source affirmed that leaders from Matrix believed that it is simply more streamlined and effective to take an automated and mobile-driven approach to record keeping and data entry when compared to traditional standards and practices.

Automation World went on to point out that time saved on projects was accompanied by several other benefits, including quicker data availability and generation, stronger opportunities to integrate the processes into other IT frameworks and a reduction in lost files or records. Furthermore, the move essentially eradicated the risk of damaged or illegible records and prevented it from having a negative impact on the project's completion.

Sky is the limit
Businesses, regardless of industry or region, can almost always find at least a few procedures within their general operations which could be improved through the use of automation tools. Invoice processing, data and document capture, procure to pay and ERP document delivery are just a few of the most popular functions where companies replace human resources with automation tools and enjoy stronger performances.

The trick to implementing automation is to first target those tasks that are best suited to the technology, such as the most repetitive and mundane responsibilities, and beginning to use the software there. Then, scaling up the deployment to help support employees through tasks that cannot be entirely automated, but rather made more efficient or effective through the use of the software, will be a quicker pursuit.
