Intelligent Document Processing (IDP)
Intelligent Document Processing (IDP) in TotalAgility speeds operations with AI-powered classification, extraction, and validation across invoices, claims, sales orders, onboarding packets, and more. Human-in-the-loop verification and built-in validators boost straight-through processing rates without sacrificing accuracy or control.
The redesigned DocAI Studio—formerly Quick Capture—introduces a modern, no-code web experience for building and managing IDP solutions. Users can take advantage of a Document Library with pre-trained types, Copilot-driven field extraction, and intuitive testing for both classification and extraction. Enhancements include automatic table extraction, inline validators and formatters, and streamlined export options such as PDF profiles or JSON with raw OCR and field data. Import and export are flexible, supporting scans, uploads, REST APIs, Azure Blob storage, barcode separation, and single-page document splitting. An embedded workflow editor, improved image caching and performance, and seamless integration with Workspace—including support for macOS—make solution design faster and more accessible than ever.
AI Knowledge Base & Tungsten AI Provider
The AI Knowledge Base transforms unstructured business content—such as contracts, emails, and proprietary documents—into structured, searchable information. With semantic search, natural language queries, and retrieval-augmented generation, teams can find precise answers within long-form documents, complete with highlighted references for trust and auditability. Administrators can define chunking rules by document type, organize and update content centrally, and control runtime options such as document limits, conversation persistence, and response profiles. This capability, powered by the Tungsten AI provider, makes institutional knowledge accessible across the enterprise and enables better, more informed decision-making. Access to the AI Knowledge Base is available with an Enterprise license.
Quick AI Agents
Quick AI Agents introduce goal-driven intelligence into workflows by allowing organizations to design agents that interact with users and perform multi-step tasks. Unlike one-off AI responses, these agents can carry out complex instructions, such as retrieving multiple data points from a query and routing results to the correct destination. The Quick AI Agent framework makes it easy to configure and deploy agents directly within chat controls, giving users immediate access to intelligent automation without heavy setup.
Case Assistant
The Case Assistant improves productivity for caseworkers by enabling natural language queries against case data. Instead of manually searching through records, users can simply ask a question and receive instant insights, with the option to include or exclude specific case fields to optimize accuracy and manage token usage. Case data can also be combined with generative AI or the AI Knowledge Base for deeper contextual responses, all while keeping sensitive information under tight administrative control.
Extended AI & Copilot Enhancements
This release brings extended AI features and refinements to the Copilot experience. Organizations can now enable Copilot Insights across existing forms with a single setting, customize welcome and help text, and resize chat windows for greater usability. New controls allow runtime flexibility by passing string variables into Generative AI actions, while system events such as “Reset Chat” and “Prompt Entered” can trigger downstream processes. Output formatting is also more versatile, with the option to return responses in HTML or plain text.
Import Connector & Document Conversion Enhancements
The Import Connector has been enhanced for scalability, performance, and oversight. Vertical scaling now allows tenants to increase throughput for input sources without straining the entire system, while audit logging provides visibility into connection and source activities. New options also support capturing message headers and embedded emails as PDF or EML formats. On the conversion side, updated parameters in the KFXConverter—including a new ANY2PDF section—enable broader file compatibility and more reliable transformations.
Tenant Management System Enhancements
The Tenant Management System gains new controls to prevent resource overconsumption, ensuring fair performance across tenants. Administrators can cap concurrent automatic activities, apply backoff intervals to reduce system strain, and automatically delete expired tenants after a defined retention period. Other improvements include simultaneous email notifications to tenants, pre-configured welcome emails with DocAI Studio and Workspace URLs, and dashboard refresh controls for real-time monitoring.
Capture Client Enhancements
Capture Client enhancements make document intake more efficient and flexible. Users can now replace multiple pages in a batch, scan both sides of a document as separate pages, and restrict file imports in controlled environments. System settings also allow administrators to disable abandoned scan sessions, regulate file import formats, and configure default image viewing modes. These improvements provide stronger oversight while reducing manual corrections during scanning.
General & Platform Enhancements
The platform introduces updated branding, improved navigation across design environments, and configurable retrieval limits on resource-heavy pages. Azure Blob Storage integration now supports string-based data, export of folder contents as individual blobs, and configurable retry policies. OAuth 2.0 requests can include custom headers for passing metadata such as API versioning. Collectively, these updates simplify administration, improve performance, and strengthen integration with enterprise systems.
Form Design & Styling
Form design is more intuitive with a new control hierarchy panel, on-the-fly form variable creation, and enhanced dropdown filtering options. Styling has also been improved: navigation menus can now be precisely configured for height, width, and spacing, and job or case menus feature new icons and a streamlined collapsed view. Even the Copilot chat window has been updated with a modern gradient header to match the refreshed interface.
Process Design
Process design enhancements provide greater flexibility for developers. Users can now create new groups while configuring custom services, eliminating the need to navigate away from their workflow. Processes can also be dynamically overridden at runtime, allowing different jobs or subjobs to follow alternate logic paths based on real-time conditions.
Query Enhancements
System queries are more powerful with the addition of an “Assigned to = All” option, which returns both manual and automatic activities for a complete view of system usage. Designers can also set a default query even when query editing is disabled, giving administrators more control while maintaining usability.
Runtime Enhancements
End users benefit from new runtime capabilities, including the ability to copy cell or row data from tables and restrict duplicate activities in the Work Queue. Additional options let solution designers control whether the “Everyone” group appears in reassignment menus, ensuring work is delegated appropriately.
Transformation Enhancements
Transformation functionality continues to evolve with optimized OCR segmentation for improved extraction accuracy and broader conversion of scripted formatters and validation rules. Federated security now supports single sign-on across Transformation tools, while Copilot for Extraction expands automation to include checkbox fields, making it ideal for structured forms like applications and compliance documents.
TotalAgility Apps & Quick Workflow
Quick Apps receive a visual refresh with cleaner layouts and improved Workspace access. Quick Workflow is expanded with additional capture activities—verification, scanning, image processing, and delete—plus support for exporting data directly to Azure Blob Storage. Designers can also use folder and document variables for more granular looping and document-level processing, improving efficiency for small-scale or high-variability workflows.
